CONDOMINIUM CORPORATIONS · CANADA & USA

Condominium Operations Have Changed.

The Way Resident Information is Collected Hasn't.

Twenty years ago, paper forms were the most practical way to collect and store resident information.

Today, condominium communities store resident information in BuildingLink, Condo Control, Yardi, custom resident portals and property management software.

The problem isn't where the information is stored. It's that resident information is still collected manually.

Resident information still arrives through paper forms, fillable PDFs and emails before staff review, verify and update their resident portal. There is no standardized process for residents to register and maintain their own occupancy information.

ResidentRegistrationLink™ provides a standardized system for collecting accurate resident occupancy information that works with your existing resident portal or property management software.

No installation. No APIs. No paper forms. No duplicate data entry.

Every Occupancy Change Creates Administrative Work.

Accurate resident information affects almost every part of condominium management.

When the board asks who occupies a unit.
When a resident reports a by-law concern.
When management needs to contact an occupant.
When emergency contact information is required.
When resident records need updating.
When annual records are reviewed.
Every one of those tasks depends on one thing.

Accurate resident information.
Property managers are responsible for maintaining resident records.
They shouldn't have to collect that information one form at a time.

Eight Reasons Resident Information Becomes Outdated

01Your resident portal didn't collect that information. Someone completed a paper form, emailed a PDF, or filled out a spreadsheet before your team manually entered everything into your resident portal.
02Handwriting becomes data. Names, phone numbers and email addresses are interpreted from handwritten forms. One incorrect email address is one resident who never receives important building communications.
03Your ownership records tell you who owns the unit. They don't always tell you who lives there today.
04Residents move in. Residents move out. Sometimes management isn't notified until weeks or months later.
05Annual resident updates become an annual chase. Reminder emails are sent.
Some residents respond immediately.
Others require repeated follow-up.
The same process starts again next year.
06Additional occupants arrive. Spouses. Partners. Adult children. Parents.  Care givers. Roommates. They live in the community but aren't reflected in your resident records.
07The board asks: "How many units are owner occupied?" "How many are tenant occupied?" You know who owns each unit. You may not know who occupies every unit today.
08Then there's an emergency. Everyone expects current contact information. Unfortunately, outdated records are usually discovered when they're needed most.

Property managers create value by managing communities—not by collecting forms and manually entering resident information.

The broken process

Your Resident Portal Isn't the Problem.

It was designed to store resident information.
It was never designed to collect it.

That's why resident information usually follows the same process:

Management shares forms

Resident completes forms

Staff checks for missing information

Staff follows up

Staff manually enters the information

Resident information finally reaches BuildingLink, Condo Control, Yardi or another resident portal.

Every move-in repeats the same administrative process.

ResidentRegistrationLink™ provides a standardized resident information collection system.

The fix is one rule, not one more system

One rule. Every Resident Registers.

ResidentRegistrationLink™ isn't another portal for staff to manage.
It's one standardized resident information collection system.

New residents can register pre-move-in or within 10 days of occupancy.
Existing residents register within 30 days of implementation.

Non-compliance follows the same process as every other condominium rule or by-law. Compliance notices are issued to the owner—not chased by management.

STEP 01

Share Your Unique Community Registration Link

Each community receives one secure registration link and printable QR code.
Post it in the lobby. Include it in move-in packages. Add it to welcome emails. Display it in elevators.Include it with Status Certificates. One link.
Every unit. It never expires.

STEP 02

Residents Complete Their Own Information

Residents complete their registration on their own phone in approximately four minutes. Owner, tenant or occupant. Unit, phones, email, move-in date, lease end, emergency contact, how many adults live there and their names. Pets with a photo — or a signed declaration that there are none.

STEP 03

Review and Export

Review submissions.
Approve registrations.
Identify missing units.
Track occupancy coverage.
Export one standardized CSV file ready for import into BuildingLink, Condo Control, Yardi or your preferred resident portal.
No retyping.
No duplicate entry.
No manual transcription.

What comes back

The Answers Your Team Needs Every Day

Every registration creates a signed, time-stamped resident record completed by the person who actually occupies the unit. No handwritten forms. No missing information. No guessing.

  • Who occupies the unit? Owner occupied, tenant occupied or another authorized occupant—plus the names of every adult living in the unit.
  • How do we contact them?  Validated phone numbers, email addresses and an emergency contact.
  • When did they move in? Move-in date, lease expiry (where applicable) and a complete registration history.
  • Can we trust the information? Every registration is signed, time-stamped and stored with a complete audit history.
  • Does the unit have pets?  Pet profiles with photographs and details—or a signed No Pet Declaration from units without pets.
  • How complete are our records?. Community coverage is measured by units—not forms—so you always know which units are registered and which still require attention.

Residency type, occupant names and occupancy information are collected for condominium communities. All other fields are available for every community.

The RRL™ System works because every resident follows the same registration process. It is simple to deploy, easy for residents to complete, eliminates manual data entry, prevents duplicate registrations, identifies occupancy changes, automatically triggers pre-written notifications, keeps resident records current, and exports directly into your preferred resident portal or property management software.

Software integration

Works With Your Existing Resident Portal

We don't replace your resident portal. We feed it.

You already have software that stores resident information — BuildingLink, Condo Control, Yardi, or another resident portal.

ResidentRegistrationLink™ collects accurate resident information directly from residents, then exports verified information ready for import into your existing system.

Management shares unique link and/or QR code

Resident completes unit registration

Staff imports into your resident portal — BuildingLink, Condo Control, Yardi, or other.

One registration process. One standardized data set. Every community unit.

And while they're in there

Pet Information Without A Separate Campaign.

Pet registration is completed during resident registration.
